Privacy Policy

Last updated 27 October 2026

China Hike is a small-group trekking operator working across China. We run treks for guests from Europe, North America, Australia, Asia and elsewhere, and this policy is written to one standard for all of them rather than a different one per country.

By using this site or contacting us you accept this policy. It explains what we collect, why, who sees it, how long we keep it, and how you can get it back or get it deleted. If anything here is unclear, email us and we will explain it in plain terms.

1. What we collect and how

What you give us directly.

  • Enquiry details: name, phone or WhatsApp number, email, number of hikers, preferred dates, and anything you write in the notes field.
  • Booking details: passport information where a permit, park entry or hotel registration requires it, emergency contact name and number, and medical information relevant to your safety on the trek.
  • Correspondence: the content of emails, WhatsApp messages and anything you tell us in a call or in person.
  • Photographs and feedback you choose to send us after a trek.

If you give us information about someone other than yourself — a partner, a friend joining you — it is your responsibility to make sure they know you have passed it to us and understand how it will be used.

When you send an enquiry. The enquiry form on this site does not transmit anything to us or to anyone else. When you press send it opens a WhatsApp message on your own device, with the details you entered already written into it, and you decide whether to send it. Until you press send in WhatsApp, we receive nothing — and we never hold what you typed before that point.

What we collect automatically. Nothing beyond what the server needs to deliver a page to you. The fonts on this site are served from this site, so loading a page sends no request to Google Fonts or any other third party on your behalf. This site sets no analytics, advertising or tracking cookie, so we do not record which pages you read, we do not build a profile of you, and nothing follows you to another site. See Cookies.

We do not collect payment card numbers through this website. See Payments.

2. Why we collect it

  • To answer your enquiry and quote a price.
  • To deliver the trek you booked, including guides, accommodation, transport and permits.
  • To keep you safe on the trail: pacing, altitude management, emergency response.
  • To meet obligations we cannot avoid — permit applications, hotel registration, tax and accounting records.
  • To improve our routes and service, using aggregated data, not individual profiles.

3. Our legal basis

Privacy laws in different countries describe permitted processing in different ways, and some do not require a stated basis at all. We apply one standard everywhere, and the table below sets out, in plain terms, why we hold each kind of data.

PurposeReason we hold the data
Answering your enquiry and quoting a priceYour consent, and steps taken at your request before a contract
Delivering the trek you bookedPerformance of a contract
Permits, park entry and hotel registrationLegal obligation, and your vital interests
Medical information used for pacing and safetyYour explicit consent, and your vital interests

4. Who we share it with

Only where it is necessary to run your trek:

  • Your guide and our operations team — name, contact, and any medical information relevant to your safety.
  • Accommodation and transport providers — name, and passport details where Chinese law requires registration.
  • Permit and park authorities — passport details, where required by the scenic area.
  • Emergency services and your insurer — only if something goes wrong.

When you write to us by WhatsApp or email, your messages are carried by WhatsApp (Meta) and Gmail (Google). They handle those messages under their own privacy policies; we do not pass your data to them for any other purpose.

We do not sell your data. We do not trade it. We do not share it with advertising networks, and we do not run behavioural ad targeting. We will disclose data if a law requires it or a competent authority demands it, and we will tell you unless we are legally barred from doing so.

5. Payments

We do not take payments through this website. Payment details are sent to you with your written booking confirmation, and we keep only the record of what was paid, when and for which booking.

6. Where your data is held

Your booking records are stored and processed in China. Messages you send us by WhatsApp or Gmail pass through those services, which operate outside China; by writing to us that way you agree to your message being carried by them.

Some transfers cannot be avoided: permit applications and hotel registration require your passport details to be given to Chinese authorities, because that is the condition on which the permit is issued.

7. How long we keep it

  • Enquiries with no booking: 12 months, then deleted.
  • Booking records: 6 years, because Chinese tax and tourism regulations require it.
  • Medical information: deleted 3 months after your trek ends, unless an incident report requires longer — the same period stated on our Safety & FAQ page.
  • Cookie notice record: a small note in your own browser that you have seen the notice. It stays until you clear your browser data.

8. Your rights and choices

Wherever you live, we offer the same set of choices. You can ask us to:

  • show you the personal data we hold about you;
  • correct anything that is wrong or out of date;
  • delete it, where we are not required to keep it by law;
  • restrict what we do with it, or object to a particular use;
  • send you a copy in a portable format;
  • withdraw consent at any time, for anything we do on that basis.

Email chinahiketravel@gmail.com and we will respond within 30 days. We may ask you to confirm your identity first, so that we do not hand your data to someone else.

If you are not satisfied with our answer, you can complain to a data protection or consumer authority. If you live in the European Economic Area, the United Kingdom or Switzerland, that is the authority in your country of residence, and you may also complain to us first. If you live elsewhere — the United States, Canada, Australia, Singapore, Japan, China, the Gulf, Latin America — you can raise it with the privacy or consumer regulator that covers your address, and we will co-operate with any such body. Where a local law gives you a specific right that is not listed above, tell us what it is and we will honour it.

We do not send newsletters or marketing emails.

9. Cookies

This site sets no cookies. It keeps one small note in your own browser's local storage, recording that you have seen the cookie notice; it is never sent to us. There is no analytics, advertising or tracking of any kind. Details are on our Cookie Policy, and you can clear the note at any time through your browser settings.

10. Security

Encrypted connections (HTTPS) across the site, access limited to the staff who need it, and no card data stored by us at all. We keep the number of people who can see medical information deliberately small. No system is perfect; if a breach ever affects you we will tell you, and the relevant authority, as the law requires.

11. Children

Our treks are designed for adults. We do not knowingly collect data from anyone under 16, and where a minor joins a family booking we hold only what is needed to run the trek and we take it from the parent or guardian, not from the child. If you believe we hold a child's data without consent, email us and we will delete it.

12. Links to other sites

This site links to Instagram, Facebook and WhatsApp, and we sometimes point to other companies' pages. Once you leave our site, their privacy policy applies, not ours. We have no control over what they collect.

13. Changes to this policy

We may update this policy as our service or the law changes. The version published here at the time you book is the version that applies to that booking, and the date at the top shows when it was last revised. We will not reduce your rights retrospectively.
